With the publication of new regulations from OSHA to protect workers from beryllium exposure, there are new rules in place regarding the retention of records related to the element. Use the guidelines below as a starting place. Air Monitoring Data:

  • Includes:
    • Date sample taken
    • Task monitored
    • Sampling methods used
    • Number, duration and results of samples taken
    • PPE worn during sampling
    • Name, social security number, job classification each employee monitored
  • Record Retention:
    • Duration of employment plus thirty (30) years.
    • Exceptions
    • Background data (lab reports and worksheets retained for 1 year, results, collection, and analytical methods used retained for thirty 30 years, and Safety Data Sheets are retained for 30 years).

Objective Data:

  • Includes:
    • Data relied upon
    • Material containing beryllium
    • Source of objective data
    • Basis and description of process, task or activity, or air-borne exposure
    • Other relevant data for listed items above
  • Retention:
    • Recommended thirty (30) years;

Medical Surveillance:

  • Includes:
    • Name, social security number, and job classification;
    • A copy of all licensed physicians’ written medical opinions for each employee; and
    • A copy of the information provided to the PLHCP as required by the Beryllium standard.
  • Record Retention:
    • Duration of employment plus thirty (30) years
    • Exceptions:
      • Health insurance claim records maintained separately from employer medical program.
      • First Aid records not involving (medical treatment, loss of consciousness, restricted work, job transfer) if made by a non-physician and records maintained separately from employer medical program, and
      • Employees worked less than (1) year = term of employment if provided to employee upon termination of employment.

Training Records:

  • Includes:
    • Name, social security number, and job classification of each employee trained,
    • Date the training was completed, and the topic of the training.
  • Record Retention:
    • Three years after the completion of training.
